Always Health

Provider Walkthrough

Everything you need to get comfortable with the Always Health provider tools — step by step.

Getting Started

Welcome to Always Health! As a provider, you have access to three core areas — all reachable from the top navigation bar:

First time here?

If you just received your login, you will be sent to the onboarding form before you can open the portal. Complete it once and you are in.

Provider Onboarding

The first time you sign in, you are greeted with a one-time profile setup. This creates your provider identity so patients and admins can see who you are.

  • 1
Sign in with the email the admin invited you with.
  • 2
Fill in your Full Name (e.g. "Dr. Jane Smith"), Contact Email, Phone, Specialty (e.g. "IV Therapy, Aesthetics"), and a short Bio.
  • 3
Click Complete Setup. You will see a confirmation and a button to enter the Provider Portal.

You only do this once

After onboarding, you are never prompted again. The admin can update your role or details if anything changes.

Provider Portal

Your home base. It has two tabs: My Appointments and Patient Records, plus a button to open the full EMR.

My Appointments Tab

Shows all appointments assigned to you, split into Upcoming and Past. Each appointment lists the service, patient, date, time, delivery type (mobile or telehealth), and address or video note.

  • 1
Search by patient name or service title using the search bar.
  • 2
Use the dropdown on any appointment to update its status: Pending, Confirmed, In Progress, Completed, or Cancelled.

Patient Records Tab

  • 1
Search existing patients by name or email, or click Add to create a new patient record (name, email, DOB, gender, phone).
  • 2
Click any patient to jump straight into their full EMR chart.

Managing Appointments

Appointments appear automatically when a patient books a service assigned to you. Here is how to keep them organized:

Status Meanings

Pending — booked, awaiting your confirmation

Confirmed — you have accepted it

In Progress — visit is happening now

Completed — visit finished

Cancelled

Delivery Types

Mobile — patient address shown

Telehealth — video visit

Tip

Change the status to "Completed" as soon as a visit wraps up — it keeps your list clean and feeds accurate history into the EMR.

Availability Calendar

This is where you tell patients when you are free. Available slots become bookable; blocked or empty days stay unavailable.

  • 1
Open Availability from the top nav. You will see a month calendar.
  • 2
Click any future date (past dates are greyed out). The day editor appears on the right.
  • 3
Toggle the time slots you are available (8 AM to 7 PM, hourly). Selected slots turn teal.
  • 4
For a day off, check "Mark as unavailable (day off)" instead — the day shows red.
  • 5
Click Save Availability. Days with slots show a teal badge; days off show "Off".

Edit anytime

Re-click a saved day to add or remove slots and save again. Your availability updates instantly for patients booking online.

EMR Overview

The EMR is your complete clinical workspace. Open it from the portal or the top nav. On the left is your patient list; pick a patient and their chart opens with a row of tabs across the top:

Face SheetIntake SummaryVitalsLabsAllergiesSOAP NotesNotesPrescriptionsTreatmentsMARClinical OrdersProvider PAQ

Each patient header shows their name, email, MRN, status, and a red allergy banner if they have any Severe allergies. Use Setup Chart to run the multi-step setup wizard, or Add Patient in the sidebar for a brand-new record.

Face Sheet

The patient's demographic and administrative record: name, DOB, gender, blood type, contact info, emergency contact, and insurance. It is viewable by default and editable inline.

  • 1
Click Edit to switch any field into an input.
  • 2
Update demographics, contact, emergency contact, or insurance details.
  • 3
Click Save to persist changes. The chart auto-creates on first open if it did not exist.

Intake Summary

A read-only view of everything the patient reported during onboarding — great for a quick clinical snapshot before a visit:

Chief concerns
Symptom assessment (energy, sleep, mood — rated out of 10)
Women's hormone history
Men's hormone history
Weight history
Medical conditions and allergies
Surgical and family history
Current medications
Previous treatments and interests
Consent date and referral source

Vitals

Record blood pressure, heart rate, temperature, SpO2, weight, height, and BMI. Each entry is date-stamped and attributed to the recorder.

  • 1
Click Add and enter today's readings.
  • 2
BMI auto-calculates from weight and height when both are entered.
  • 3
Save — the new vitals entry appears in the dated list below.

Labs

Log lab results with test name, result value, unit, reference range, and a flag (Normal, H, L, or CRITICAL). Ordered-by and notes are optional.

CRITICAL flags

Results flagged CRITICAL are highlighted so they are never missed during chart review.

Allergies

Maintain the patient's allergy list with allergen, reaction, and severity (Mild, Moderate, or Severe). Severe allergies trigger a red banner at the top of the chart and in the patient header.

  • 1
Click Add, enter the allergen, reaction, severity, and who noted it.
  • 2
Save. Each allergy shows a color-coded severity badge.
  • 3
Delete an allergy with the trash icon on its row.

SOAP Notes

Document structured encounters with Subjective, Objective, Assessment, and Plan sections, plus an encounter type (Visit, Phone Call, Telehealth, etc.).

  • 1
    Click Add SOAP Note.
  • 2
Pick an Encounter Type, then fill S, O, A, P as relevant.
  • 3
Save. Notes appear chronologically with the encounter type as a header.

Clinical Notes

Quick free-text notes for anything that does not fit the SOAP structure — phone follow-ups, quick observations, coordination notes. Date and provider are recorded automatically.

Prescriptions and iPrescribe

Two parts work together: an internal medication list for your records, and a one-click launch into iPrescribe for e-prescribing.

iPrescribe Launch Panel

At the top of the Prescriptions tab, a panel summarizes the patient's context — DOB, gender, phone, weight and height, allergies (with severity), and active medications.

  • 1
Click Copy Context to copy all patient details to your clipboard.
  • 2
Click Open iPrescribe — the iPrescribe portal opens in a new tab.
  • 3
Log in with your iPrescribe account and paste the context into the patient search.

Why launch and copy?

Because iPrescribe handles the secure e-prescribing itself, we hand you the patient context so you do not retype it. Prescribe inside iPrescribe; the EMR keeps its own record below.

Internal Medication List

  • 1
Click Add Prescription and enter medication, dosage, frequency, and notes.
  • 2
Save. Entries appear dated with the provider's name — your auditable in-house record.

Treatments

Document administered treatments — especially injectables like Botox — with units, areas treated, and outcome notes. Two visual tools make this precise:

Face Photo Capture

Capture a pre-treatment photo of the patient's face using the device camera, so you have a baseline on file.

Injection Site Map

Draw injection sites directly on a face template. Undo and clear tools let you annotate precisely, then save the map as an image.

  • 1
Click Add Treatment, enter the service, units used, and areas treated.
  • 2
Use the camera to capture a face photo, then draw injection sites on the map.
  • 3
Add outcome notes and save. Both images are stored with the treatment entry.

Medication Administration Record (MAR)

Log each medication you administer: medication, dose, route (IM, IV, or SubQ), site, time, who administered it, the patient's response, and notes. This is your auditable administration trail — essential for IV therapy and injectables.

Clinical Orders

Create and track orders for Labs, Imaging, Referrals, Medications, Procedures, or Other. Each order has a priority (Routine, Urgent, or STAT) and moves through a status workflow:

Draft
Pending Signature
Signed
Pending Approval
Approved
Cancelled
  • 1
Click Add Order, choose the type, enter the description and clinical indication.
  • 2
For referrals, add the specialist name and specialty.
  • 3
Sign the order when ready; it advances through approval as needed. Insurance authorization status is tracked too.

Provider PAQ (Procedure Authorization Queue)

For procedures requiring supervising sign-off — injections, IV therapy, Botox, fillers, weight-management injections — submit a PAQ request and an APRN reviews it. This keeps delegated procedures compliant.

  • 1
Click Submit Request and choose the procedure type, describe it, and enter the medication or product, dosage, route, and site.
  • 2
Confirm contraindications were reviewed and patient consent obtained (checkboxes).
  • 3
Submit. The request starts as Pending Sign-off.
  • 4
An APRN opens it, adds sign-off notes, and marks it Approved or Rejected. You will see the decision and any conditions in the request.

Why it matters

Delegated procedures need documented APRN sign-off. Do not perform the procedure until the PAQ shows Approved.

Chart Setup Wizard

For a new patient (or one with a sparse chart), the Setup Chart button in the EMR header launches a 6-step wizard that gets the chart populated fast:

1. Demographics

Name, DOB, gender, blood type, contact, emergency contact, insurance

2. Vitals

Baseline vitals; BMI auto-calcs. Skip if not ready.

3. Allergies

Add allergen, reaction, severity

4. Diagnoses

ICD-10 code, description, status

5. Surgical Hx

Procedure, date, surgeon, facility

6. Immunizations

Vaccine, date, administered by, lot number

  • 1
Click Setup Chart in the patient header.
  • 2
Move through the steps with Next or Back; you can jump back to completed steps.
  • 3
Review the summary on the last step, then Save and Finish. All sections persist to the chart at once.

Pre-filled for you

Demographics and emergency contact pre-fill from the patient's intake data, so you usually just review and adjust.

You are ready to go

Set your availability first so patients can book you, then explore the EMR with a patient record.
